Welcome Desk Volunteer

Role purpose

To create a friendly and professional first point of contact for visitors, providing information, guidance, and support to ensure a positive experience.

Key responsibilities

  • Greet visitors warmly and make them feel welcome
  • Signpost or direct people to the correct service, room, or staff member
  • Answer basic enquiries in person, by phone, or email
  • Manage sign-in/sign-out processes where required
  • Support appointment check-ins or bookings
  • Maintain a tidy and organised reception area
  • Handle basic administrative tasks (e.g. filing, data entry, taking messages)
  • Escalate complex or sensitive queries to staff

Skills & Qualities

  • Friendly, approachable, and polite manner
  • Good communication and listening skills
  • Basic IT skills (email, simple databases, or booking systems)
  • Organised and reliable
  • Respect for confidentiality and diversity

Training & Support

  • Induction and orientation provided
  • Training on systems, procedures, and safeguarding (if relevant)
  • Ongoing support from staff or volunteer coordinators

Working Conditions

  • Seated or desk-based role
  • Interaction with a wide range of people
  • May involve handling busy or high-traffic periods
